Filter, sort and group records

Filters, sorting and groups change what a list shows. They don't change the records themselves.

Filter a list

  1. Click Filter at the top right of the list.
  2. Choose a field, such as Company or Stage. To find a field quickly, start typing its name.
  3. Choose or type the value to match.

The filter shows as a chip under the toolbar. Click the chip to change it, or click its x to remove it. Click Add filter to add another one. When you use several filters, a record has to match all of them.

Two more options are at the bottom of the field list:

  • Search any field: type a word in the search box, then click this to find it in any field.
  • Advanced filter: build rules such as "this or that".

Sort a list

  1. Click Sort.
  2. At the top of the menu, choose Ascending or Descending.
  3. Choose the field to sort by, such as Close date.

The sort shows as a chip under the toolbar. Click the chip to switch the direction, or click its x to remove it.

Group records

Grouping splits a table into sections, one for each option of a select field. For example, you can group opportunities by Stage.

  1. Open a view you created. The starting All views can't be grouped.
  2. Click Options.
  3. Click Group.
  4. Choose a select field, such as Stage.

To change the grouping later, click Options, then Group. There you can:

  • pick another field under Group by, or choose None to stop grouping
  • change the order of the groups under Sort
  • turn on Hide empty groups

Keep your filters and sorting

Filters and sorting aren't saved in the view until you save them. Click Update view, or Save as new view on a starting All view. Click Reset to go back to how the view was. For more, see Create and save views.
