Import and export CSV files

Before you import

  • Use a .csv, .xlsx or .xls file with up to 10,000 records.
  • Put one kind of record in each file, such as people in one file and companies in another.
  • Make sure the fields exist. The import fills in fields, but it doesn't create them. Ask your admin to add any custom fields first.
  • Import companies before people, so each person can be linked to their company.
  • Not sure about the format? Download the sample file in step 4 below and copy its column names.

Import records

  1. In the sidebar, click the object you want to fill, such as People.
  2. Press ⌘ + K on a Mac or Ctrl + K on Windows.
  3. Click Import People. Type import to find it quickly.
  4. Click Select file and choose your file. To get a template first, click Download sample.
  5. If your Excel file has more than one sheet, choose a sheet and click Next Step.
  6. Under Match Columns, check that each of your columns is matched to the right field. Choose Do not import for columns you don't need.
  7. Click Next Step.
  8. Under Validate Data, fix any cells with errors, or tick the rows and click Remove.
  9. Click Confirm.

If some rows still have errors, click Submit to import the rest. The rows with errors are skipped.

Good to know

  • For a select field, such as Stage, the CRM asks you to match each value in your file to one of the field's options.
  • If a row has the same email (People) or website (Companies) as a record already in the CRM, the import updates that record instead of adding a copy.
  • To link people to their companies, add a column with each company's website, written the same way as in the company's Domain Name field. Match it to Company / Domain Name / Link URL. Company names can't be used for this.

Export a list

  1. Open the list you want, such as Companies.
  2. Set up the view so it shows the records and columns you want. Use filters to narrow the records, and Options → Fields to choose the columns.
  3. Press ⌘ + K on a Mac or Ctrl + K on Windows.
  4. Click Export View.

Your browser downloads a CSV file with the records in the view and the columns you can see, plus an Id column. To export only some records, tick them first and click Export Companies (or Export Company for one) in the command menu instead.

If you don't see the import or export commands, your role may not allow them. Ask your admin.
