Lists and cards

You need the Editor role on a board to add or change its lists and cards. See Roles and permissions.

Add a list

Lists are part of the board's layout, so you add them with editing unlocked, in the Kanban view.

  1. If the lock icon at the top right of the page is closed, click it to unlock editing.
  2. Click Add list at the right end of the board. If the board already has lists, it says Add another list.
  3. Type a title.
  4. Click Add list.

Next to the Add list button, the type button chooses what the list is for:

  • Active: "Cards on this list are ready to be worked on." This is the usual type.
  • Closed: "Cards on this list are complete and ready to be archived." Cards here are faded and crossed out, and their due dates stop showing as late. Moving a card back to an active list reopens it.

Change a list

With editing unlocked, click a list's title to rename it, or drag the list to move it. Click the pencil on the list to open List Actions:

  • Edit Title, Edit Type and Edit Color.
  • Add Card adds a card at the top of the list.
  • Sort List sorts the cards once: Alphabetically, By due date, Oldest first or Newest first.
  • Move List moves the list and its cards to another board.
  • Archive Cards, on closed lists only, archives every card in the list.
  • Delete List deletes the list and moves its cards to the trash.

Add a card

You don't need to unlock editing to work with cards.

  1. Click Add card at the bottom of a list.
  2. Type the card's title.
  3. Press Enter or click Add card.

The box stays open for the next card. Press Esc when you're done.

Cards come in two types. Choose one with the type button next to Add card:

  • Project: "Task assignment and project completion." This is the usual type.
  • Story: "Reference data and knowledge storage." Story cards don't have a due date, stopwatch or task lists.

A manager can limit a board to one card type.

Click a card to open it. See Card details. To change a card without opening it, point at it and click the pencil, or right-click it. Both open Card Actions.

Archive, delete and restore cards

  • To clear a finished card off the board, open it, click Archive and then Archive card.
  • To throw a card away, open it, click Delete and then Delete card. It goes to the trash.

To find these cards again, click the ⋮ button at the top right of the board and choose Archive or Trash. Open a card there and click the button that starts with Restore to, for example Restore to Doing. If the button says Select list to restore this card instead, click the list name under List and pick a list.

In the trash, Delete Forever removes a card for good. Empty Trash in the ⋮ menu removes every card in the trash. Choose Board in the same menu to go back to the board.
