Projects and the board

Projects group related tasks, like a business, a show or your home life. A project can have sub-projects, one level deep.

On a computer, your projects are in the sidebar under Projects. Click the arrow next to a project to show or hide its sub-projects. On iPhone, tap the Projects tab.

The Projects page shows a card for each project, with its sub-projects and how many open tasks each one has.

Create a project

  1. Go to Projects.
  2. Select New.
  3. Type a Name.
  4. Pick an Icon, if you want one.
  5. Pick a Color.
  6. Under Inside, keep Nothing (top-level project), or pick a project to make this a sub-project.
  7. Add a Description, if you want one.
  8. Add Quick-add words, if you want them.
  9. Select Create.

Quick-add words help quick add guess the project. Separate them with commas. For example, if a project has the word dentist, typing “Call the dentist” suggests that project.

To add a sub-project to a project you already have, open the project, select ⋯, then Add sub-project.

Inside a project

A project page lists its own open tasks first, then a section for each sub-project. Select + next to a sub-project to add a task to it. Any task you add while you're on a project page goes into that project, unless your sentence points to another one.

Tasks you finished in the last two weeks are under Done in the last 2 weeks.

The board

Select the board button at the top right of a project page to see its tasks as cards in four columns: To do, In progress, Waiting on and Done.

  • Drag a card to another column to change its status. Moving it to Done checks the task off.
  • On iPhone, press and hold a card, then drag it. Swipe sideways to see the other columns.
  • Select a card to open the task.

The board includes the tasks of all sub-projects. Today remembers whether you chose the list or the board for each project, on each device.

Edit, archive or delete

Open the project and select ⋯:

  • Edit project changes the name, icon, color, description and quick-add words, and where the project sits.
  • Archive hides the project, and its sub-projects too. Its tasks aren't deleted. To bring it back, go to Settings → Projects, find it under ARCHIVED and select Restore.
  • Delete removes the project and its sub-projects once you confirm with Delete project. Their tasks move to your Inbox.

You can also edit any project in Settings → Projects. A project that has sub-projects can't be put inside another project.
